I've witnessed firsthand even the *seemingly* best-planned events falter due to overlooked details. Discover the secrets to sidestepping the most common pitfalls and guarantee that your event runs seamlessly.

Here's a brief list that I've compiled of 7 common mistakes in live event production and tips to avoid them:



1. Inadequate Pre-Event Planning

The Mistake:
  • Skipping over crucial planning steps or failing to allocate enough time for pre-production. This can lead to last-minute scrambling and overlooked details.

How to Avoid It:
  • Start with a detailed plan that includes timelines, checklists, and contingency measures.

  • Identify potential risks and develop backup plans for technical issues, weather (if applicable), or schedule changes.

  • Collaborate with clients and suppliers early on to ensure everyone is aligned.



2. Poor Communication

The Mistake:
  • Miscommunication between the event team, venue staff, and clients, resulting in conflicting expectations or mistakes during the event.

How to Avoid It:
  • Establish clear communication and regularly check in with all, ensuring up-to-date schedules and project management to keep everyone on the same page.



3. Underestimating the Importance of Sound, Lighting and/or Vision

  • Schedule a post-event meeting to discuss what went well and what could have gone... slightly better.

  • Consider sending out surveys to anyone involved for additional feedback and discuss with your suppliers regarding possible improvements for next time.
